CMS Cloud Email Relay Service Update by August 31, 2024

Summary: 

To comply with Executive Order 14028 and adhere to CMS security policies, CMS Hybrid Cloud email relay connection details have been updated and are now available. Customers who send messages through the CMS Hybrid Cloud email relay servers using Simple Mail Transport Protocol (SMTP) are required to update the connection details and enable encryption by *August 31, 2024.*

Customers are encouraged to update connections as soon as possible to prevent service interruption*. *The new connection string can be found here [ https://cloud.cms.gov/introduction-email-as-service ], along with Transport Layer Security (TLS) details and general use guidelines.

 

Background

This upgrade will:


* Enable support for TLS end-to-end encryption of traffic.
* Reduce the customer level of effort on future feature additions to the service.
* Provide a more stable endpoint.
* Remove timing and coordination of SMTP changes related to the closure of the Baltimore Data Center.

 

Timeline

The new email relays are now available, and must by updated by *August 31, 2024**.*

 

Required Action

Customers using Hybrid Cloud SMTP relays must do the following:


* Migrate all email traffic to the new Hybrid Cloud SMTP relays and cease usage of the old relays.
* Begin sending only encrypted email traffic.
* Cease all usage of port 25.

If there is an issue with" enabling encryption by the deadline," please reach out to your IUSG Advisor to discuss your situation to ensure compliance with this Executive Order.

 

Impact

Customers within CMS Hybrid Cloud who have not updated their connection details to the new SMTP relays, are not sending encrypted traffic, or are still using port 25 will be affected by this configuration update starting *September 1, 2024*.
